Who we are and what this policy covers
Japan Ghana Exporters Association (JGEA) operates jgea-japan.org. This policy explains how we handle information when you browse our public website or contact the secretariat.
The public website provides information about the association, trade updates, notices, and published events. You do not need an account to read this information or contact us.
Information we receive
When you submit the contact form, we receive your name, email address, subject, message, and the time of submission. If you email us directly, we receive your email address and the information you include in your correspondence.
The website and its service providers may process technical information, such as IP addresses, requested pages, browser or device information, and error details, to deliver the site, protect it from abuse, and diagnose problems. The contact service uses an IP-based request counter to limit repeated submissions.
Please include only information needed for your enquiry. The public contact form does not require identity documents, payment details, or account registration.
How we use information
We use enquiry information to understand your request, respond by email, manage follow-up correspondence, and keep a record of whether an enquiry has been handled.
We use technical information to operate and secure the website, prevent spam and excessive requests, and investigate faults. When enabled, aggregate analytics help us understand how the website is used. Sending an enquiry does not subscribe you to marketing messages.
Service providers and sharing
Website hosting, database storage, email services, and any enabled analytics or diagnostic services may process information needed to provide those functions. Access to enquiry records is intended for authorised people handling association correspondence.
We do not sell enquiry information. Information may also be disclosed where required by applicable law. Depending on the services used, information may be processed outside Japan; contact us if you need details about the providers or handling of your enquiry.
Retention and security
Enquiry records are retained for handling the request, relevant follow-up correspondence, and any applicable legal or administrative requirements. Retention depends on the nature of the enquiry rather than a single fixed period.
We use access controls and technical safeguards to protect information. No online service can guarantee absolute security. Avoid sending confidential documents or sensitive information that is unnecessary for your enquiry.
Your privacy requests
You can ask about the personal information held in connection with your enquiry, request correction, or request deletion by writing to info@jgea-japan.org. We may need to confirm your identity before responding.
Requests will be considered under applicable data-protection laws, including Japan’s Act on the Protection of Personal Information where applicable. Some records may need to be retained to meet legal obligations.
Changes to this policy
We will update this page when the website’s functions or information-handling practices change. The date above identifies the current version.
